The first 10 tasks an SME owner should delegate

An SME owner often spends a full day each week on tasks that someone else could perform just as well. The question is not whether to delegate, but where to begin.

Many owners postpone delegation because they expect a long setup. In practice, a well-chosen first scope can make a difference within the first week.

How to identify a task to delegate

Three criteria are enough: the task is repetitive, it does not require your unique expertise and it can be explained in a few sentences. When all three apply, it is a strong starting point.

  • Sorting emails and sending first-level replies
  • Booking and confirming appointments
  • Preparing quotes and invoices
  • Following up overdue payments
  • Preparing meetings and minutes
  • Formatting documents and presentations

The order matters

Start with the work that consumes the most mental energy, not necessarily the most hours. Removing the burden of remembering everything often has more impact than saving two hours on one isolated task.

Once the first scope is stable, expand it. That is the logic of our diagnosis: target, delegate, measure and repeat.
